SwimTribe offers a swim program for children and adults on a one on one or a small group basis. It is important that the participants attend 100% of the sessions to receive the full benefit of the swim coaching programme.
Participants are required to train at their scheduled class times in order to maintain appropriate coach to participant ratios. We have set these parameters for every SwimTribe lesson to ensure our quality, individual coaching standards and swimming progression for our students is achieved.
Assessments
All new participants are required to attend a short assessment session prior to starting the lessons so that our coaches can place them in the correct level. Please note that we reserve the right to move the participant up or down between levels during the term to ensure they are progressing at the correct level. Please bring your swimming kit and goggles to the assessment. There is no payment required for this assessment.
Term payments
All term payments must be made in advance via our booking system Mindbody. As we request all participants to commit to the full term, the website will not allow you to deselect any of the dates. If you are registering once the term has already commenced, you will be required to register and pay for the remainder of the term sessions (prorated). Paid term sessions are valid only during that term and cannot be transferred to the next term. Payments are non-refundable and non-transferrable. We also have a AED150 per year enrollment fee for every swimmer. This will be added to your invoice for the term. All registrations are dealt with on a first come-first-served basis.
Multi-session packages
Sessions are deducted from packages after a booking is submitted, unless it’s cancelled according to the cancellation policy described in this document.
Every package purchased expires after 90 days from the first use.
Session requirements and recommendations
The participant will be required to arrive promptly at each session (at least 5 minutes prior to the start time), with their swimming cap, goggles, swimming costume and water bottle. For adults and squad children (list groups), they will be required to also bring equipment including fins, paddles, kickboard, pull buoy and snorkel and any other equipment as directed by the SwimTribe coach.
Please ensure participants do not eat a heavy meal prior to the class. A light snack only is advised. No food or chewing gum is allowed around the pool area. It is the parent’s responsibility to supervise their child/children before and after the lesson.
Please send your Child in appropriate clothing – Swimming costume, swim cap and goggles.
Facility care
All participants must ensure that at the end of each session, the School Facility is left clean with no litter or personal belongings. Any damages or cleaning requirements should be reported to the SwimTribe staff.
During the session
To ensure that our coaches have the undivided attention of the participant, we request that parents refrain from talking or interacting with the child or coach throughout the session. There is seating available by the pool for you to watch your child. For younger children, parents must stay within reach of the pool area in case your child needs to go to the bathroom. It is the parent’s responsibility to supervise any younger siblings and unfortunately, they are not allowed to use any equipment or facilities outside of the pool that may be close by ie. School playgrounds, playing fields, other swimming pools, etc. Persistent offenders may be asked to leave the site/their child asked to leave SwimTribe without a refund.
Collection
All participants should be collected from the pool area or an area specified by the venue / SwimTribe. If you wish for your Child to be collected by a different parent/person, please inform a SwimTribe staff member before the class with contact information for that person. Please pick up your child on time at the end of their lesson as there is no provision for childcare. Our coaches will be busy with the next lesson.
Make up/Cancellation policy
If you or your child cannot attend a session for any reason, please notify your coach at least 12 hours prior to the start of the session by sending an email to info@swimtribedxb.com. Term fees cover coaching services with SwimTribe and are not attributable to individual
coaches. Make-up lessons may be offered at other venues / days subject to availability. Regrettably, we are unable to arrange make up sessions if you inform us within the 12 hours, after the session has taken place, or if there is an outstanding balance on your account. Holiday programs may carry a unique make up policy which will be communicated separately. A make-up session is not a credit nor transferable. All sessions must be completed within the current term. Missed Holiday Camp sessions cannot be transferred to regular training season and missed tournaments cannot be transferred to the next Term. We will try to offer you a few Make-up options. If you keep refusing our offers, you run the risk that the lesson will be lost. You cannot receive a make-up lesson for a missed make-up lesson. We strive for continuity for every lesson, however, occasionally, schedules may need to be amended and coaches may be substituted. This does not give you the right to a refund. This rule applies if a coach is off work and we substitute your regular coach with another coach. SwimTribe may set aside a day for make-up sessions during or on the last day of term should we cancel a session due to unforeseen circumstances (coach illness, facility repairs, pool hygiene issues, national holidays or unexpected school closures). Should we need to cancel a lesson we will let you know as soon as is practically possible. This can be at short notice. We encourage parents to follow our social media platforms and ensure contact information provided is kept up to date and accurate.
Refunds (not application to pool sessions)
If a refund request is considered valid due to long term injury or ill health, then SwimTribe may offer a partial refund. Refunds will be done by bank transfer within a maximum of 30 working days. Any bank charges are at the expense of the client. Term registration fees are not refundable under any circumstances.
Summer months
Our swimming pools are currently inside or sheltered, however please ensure you bring your own water supply. Should a lesson be outside, please ensure you/your child has suitable factor sunscreen.
Health and safety
We ask for information concerning any medical conditions of our swimmers so our staff/coaches can be made aware and in case of emergency. As a SwimTribe customer, a swimmer or parent/guardian of a swimmer, by coming to SwimTribe lessons or by bringing your child to lessons you confirm that you/they are medically fit and acknowledge that it is your responsibility to report any ailments, medications, allergies, disabilities, etc in advance of each lesson to SwimTribe. You explicitly agree to assume all risk of death or injury to you/your child and/or loss of, or damage to any property of SwimTribe or any parent, subsidiary or affiliate company resulting directly or indirectly from his/her participation.
You understand and further acknowledge that there exists the possibility of certain risks during exercise generally and particularly from this participation, including but not limited to: abnormal blood pressure, fainting, disorders of the heart, heart attack, stroke or even death. And further understand and acknowledge that there also exists the possibility of certain injuries, including but not limited to: damage to muscles, bone, organs, tendons and joints of the body. Whilst SwimTribe will endeavour to minimise such risks, you understand and acknowledge that in certain circumstances, such risks may still exist and notwithstanding such risks, you still consent to your/your child’s participation.
You expressly release and discharge SwimTribe and its owners, employees, agents, hired venues and assigns from any and all liabilities, claims, suits, demands or actions arising from or in connection with [my/his/her] participation in the swimming programs. This release shall be binding on my heirs and executors [and those of my son/daughter]. You further agree that should you/your child behave in any manner deemed by SwimTribe as disruptive or that could lead to injury of the swimmer or any other participant, SwimTribe are hereby authorised to expel the swimmer from any further participation in the swimming programme without refund. Management or their hired venues will not be liable or responsible for any personal injury, accident or death, or any loss or damage to personal property or vehicles cause to or suffered by any visitors, participants, spectators or invitees attending any of the activities hosted by SwimTribe at any of their venues. All participants, spectators or invitees will be responsible for obtaining appropriate insurance in relation to the conducted activities.
Marketing
By participating in SwimTribe activities, you consent to SwimTribe using photographs and/or video recordings including images of you and/or your children both internally and externally to promote SwimTribe. These images could be used in print and digital media formats including, but not limited to; print publications, websites, e-marketing, posters banners, advertising, film, social media, teaching and research purposes. You understand that images on websites can be viewed throughout the world and not just in the United Arab Emirates and that some overseas countries may not provide the same level of protection to the rights of individuals. You understand that some images or recordings may be kept permanently once they are published and be kept as an archive.
My rights
You have the right to request to see a copy of the information SwimTribe holds about you/your child and to request corrections or deletions of the information that is no longer required. You have the right to ask SwimTribe to stop using your images at any time, in which case it will not be used in future publications but may continue to appear in publications already in circulation.
